Job Description

Dispatch Supervisor

Reports to: Operations Manager

Supervises Outsourced Dispatch Team, loaders, drivers, dispatch Clerk, Invoicing Clerk and all other employees attached to the jurisdiction.

Job Purpose   

To lead in the dispatch execution of finished goods to customers in an efficient manner to meet the loading and truck turnaround time.

Duties & Responsibilities      

Dispatch

  • Prepare dispatch plans and ensures that such plans are executed within the set time.
  • Undertake proper route planning to ensure that dispatch vehicles are fully utilized and attaining maximum trips daily.
  • Participate in stock take exercises as per the plan and deliver timely accurate reports.
  • Attend to customer’s own collection of goods and urgent orders to ensure loading is done as planned and within the shortest time possible.
  • Strictly ensure goods are loaded as per the delivery and loading list and highlight any irregularities noted during the dispatch/loading process.
  • Liaise with various transport service providers where need be to ensure that company dispatch activities continue as expected while outsourced vehicles are properly handled with various employees.
  • Supervises the raising and issuance of both invoice and delivery notes as executed by invoicing clerks.
  • Supervises off-loading of goods received from Customers for quality issues, samples and any other reasons.
  • Monitor outsourced Service provider activities and escalates any issues that need immediate management action.
  • Ensure goods count are taken for each loading before dispatch and confirm that total products loaded tally before release of goods.
  • Dispense fuel to all delivery trucks while keenly monitoring consumption and highlighting any deviations noticed on expected fuel consumption per truck.
  • Take full charge of the Dispatch Yard, monitoring vehicle and people movements while at the same time enforcing safety policies at the area.
  • Any other duties as may be allocated by management from time to time

People Management

  • Develop lucrative incentive schemes and introduce monetary benefits to encourage sales team to deliver their level best. Appreciate whenever they do good work.
  • Track the entire field sales team performances, make sure each one is living up to the expectations of the organization. Be on top what the team is doing daily, weekly and monthly. The performers must be encouraged while the non -performers must be dealt with utmost patience and care
  • Training sales staff on product knowledge, sales and communication strategies and helping them close deals.
  • Manage, coach and develop a high performing Sales team that meets agreed objectives and which delivers best practice results, added value and continuous improvements.
  • Training showroom staff on effective sales and communication strategies.
  • Set department objective and KPIs for his team, communicate, review and assess ongoing performance of direct reports.
  • Consistently promote high standards through personal example and roll out through the team so that each member of the team understands the standards and behavior expected of them.

Minimum Qualifications

Bachelor’s Degree/Diploma in Supply Chain, Procurement, Logistics, or any other business-related field

Relevant training in logistics and/or transport operations.

Minimum 3 years of experience in a busy logistics environment

Managing drivers and general unskilled workers

 

Desired Skills             

Good communication and interpersonal skills.

Independent, can work with minimum supervision.

Computer literacy is a requirement
